Every figure on this page is computed from the inputs you enter, by the method stated below it. The only constants HeadcountDesk supplies are the published federal payroll tax rates and the overtime multiplier, each cited where it is used. The defaults are a worked example to replace with your own.

A transfer letter to an employee moving from one location to another states the new location, the effective date, the role and the manager at the new site, any change to pay, hours or allowances, what does not change, and the practicalities of the move, and it is signed by both. It is a change form with a letter attached, and the record it creates is the answer to any later question about what was agreed. The review template on this site records the conversation and the goals at the new site, free; HeadcountDesk Pro files the letter and updates the record.

What the letter states

New location, effective date, role and manager there, pay and hours if they change, allowances and relocation terms if any, and a sentence saying continuity of service and everything else is unchanged.

What changes with the state

Where the move crosses a state line, the handbook's state addendum for the new state applies and the letter says so; the employee re-acknowledges it. The free employee handbook template on this site produces the addendum.

Signed by both, filed

The employee's signature is the agreement to the terms; the letter is filed against the employee with the change form that updates the record. Pro does both.
