Every figure on this page is computed from the inputs you enter, by the method stated below it. The only constants HeadcountDesk supplies are the published federal payroll tax rates and the overtime multiplier, each cited where it is used. The defaults are a worked example to replace with your own.

An employee verification letter confirms, on the employer's letterhead, that a named person is or was employed, in what role, from what date, at what pay where the employee has authorized that, and it is signed by someone with the authority to say so. Lenders, landlords and immigration cases ask for it, and the mistakes are the same every time: pay disclosed without consent, dates from memory, a signature from whoever was nearest. The employee contract builder on this site holds the role, the start date and the pay the letter is written from; HeadcountDesk Pro issues the letter from the record.

What it states and what it does not

Name, role, employment status, start date and, if applicable, end date; pay only where the employee has asked for it in writing. Not the reason for leaving, not performance, not anything the employee did not ask to be disclosed.

Written from the record

The dates and the pay come from the contract and the payroll record, not from recollection. The free employee contract builder on this site holds the role, the start date and the pay; Pro issues the letter from that record so the figures match.

Signed by the right person

The signatory is someone with authority to confirm employment, named with their title and contact details so the recipient can verify. Pro records who issued each letter and when.

Kept against the employee

Every letter issued is filed against the employee with the request it answered. A second request a year later is answered from the file, not rewritten. From the vendors' own pricing pages: Homebase lists Essentials at $24 per location per month billed annually or $30 monthly, with a free Basic plan for one location of up to ten employees; BambooHR lists Core at $10 and Pro at $17 per employee per month; Deputy lists Core at $6.50 per user per month. HeadcountDesk Pro is $24 a month per location.
