Timesheet invoice template

This turns a contractor's timesheet into the invoice that gets paid. It takes the hours at the agreed rate, any hours at a premium rate for weekends, nights or a rush, billable expenses agreed in advance, sales tax where your state charges it on services, anything already paid or retained, and the payment terms, and returns the labor lines, the subtotal, the tax, the invoice total, the balance due and the days until it is due. It is the same arithmetic whether you are the contractor sending it or the employer checking it.

Premium hours are their own line

A contractor who agreed a rate for weekdays and a higher one for weekends should invoice them as two lines, not as a blended figure that neither side can reconcile to the timesheet. The page keeps the premium hours separate so the invoice reads directly against the sheet it came from, which is what stops the query.

Expenses are billed, not marked up, unless agreed

Mileage, materials and travel that were agreed in advance go on the invoice at cost as a separate line. Folding them into the hourly rate hides them and marking them up without agreement starts an argument. The page adds them after labor and before tax, and applies tax only to the services line, because most states do not tax expenses passed through at cost.

Balance due is what gets paid, so put it last and big

An invoice that nets off the retainer or the deposit already paid, and ends in one balance due figure with the number of days until it is due, gets paid. One that ends in a total and mentions the deposit somewhere in the middle gets queried. The page computes it that way for that reason.
