Every figure on this page is computed from the inputs you enter, by the method stated below it. The only constants HeadcountDesk supplies are the published federal payroll tax rates and the overtime multiplier, each cited where it is used. The defaults are a worked example to replace with your own.

A sample letter of agreement between an employer and an employee records one thing both sides have agreed that the contract does not already cover: a change of hours, a temporary role, a repayment of training costs, a flexible arrangement, a settlement of a dispute. It states the parties, the agreement in plain terms, the effective date and the end date if there is one, what does not change, and it is signed by both and filed. The review template on this site records the conversation the agreement came from, free; HeadcountDesk Pro files the letter and updates the record.

The sample

Between the company and the named employee. From the effective date the employee's hours will be the stated hours on the stated days, at the stated rate, until the end date, after which the original terms resume unless agreed otherwise in writing. All other terms of employment are unchanged. Signed by both, dated.

What it states

Parties, the agreement in plain words, the effective date, the end date or its absence, what does not change, and the signatures. One agreement per letter.

What it is not

It is not a new contract and does not replace the handbook; it sits alongside both. Where it changes pay or hours, a change form updates the record with the letter attached.

Filed

Against the employee with the date and the change form. The free review template on this site recorded the conversation that produced it. From the vendors' own pricing pages: Homebase lists Essentials at $24 per location per month billed annually or $30 monthly, with a free Basic plan for one location of up to ten employees; BambooHR lists Core at $10 and Pro at $17 per employee per month; Deputy lists Core at $6.50 per user per month. HeadcountDesk Pro is $24 a month per location.
