Every figure on this page is computed from the inputs you enter, by the method stated below it. The only constants HeadcountDesk supplies are the published federal payroll tax rates and the overtime multiplier, each cited where it is used. The defaults are a worked example to replace with your own.
A remote employee returning equipment is an offboarding item that goes wrong when nothing recorded what was issued: the laptop, the monitor, the phone, the badge, the keys, each with a serial number and the date it went out, against the employee. With that record the return is a checklist, a prepaid box and a signed receipt; without it, it is a conversation about what the employee thinks they have. The onboarding checklist on this site records the equipment issued, free and without an account; HeadcountDesk Pro keeps it and produces the return list at leaving.

Record it at issue
Item, serial number, date, condition, the employee's acknowledgement. The free onboarding checklist on this site has the line; Pro keeps it against the employee so the return list writes itself.
The return process
The list sent with the notice of leaving, a prepaid shipping box or a courier collection, the return deadline in writing, and the receipt signed on arrival with the condition noted.
Accounts and data before the box
Access revoked on the last day, the data on the device handled under the policy, and the device wiped after the return is confirmed. The order matters.
Where it is not returned
The handbook says what happens: the value deducted where the state allows and the acknowledgement permits, or recovered otherwise. Write it before you need it. From the vendors' own pricing pages: Homebase lists Essentials at $24 per location per month billed annually or $30 monthly, with a free Basic plan for one location of up to ten employees; BambooHR lists Core at $10 and Pro at $17 per employee per month; Deputy lists Core at $6.50 per user per month. HeadcountDesk Pro is $24 a month per location.
Remote employee returning equipment: common questions
Can I deduct the cost of unreturned equipment from final pay?
Only where state law allows and the employee has agreed in writing; many states restrict it. The handbook and the acknowledgement are where the agreement lives.
Who pays for the return shipping?
The employer, with a prepaid box; it removes the excuse and the delay.
Is the onboarding checklist free?
Yes. It records the equipment issued with no account. Pro produces the return list at leaving.
