Every figure on this page is computed from the inputs you enter, by the method stated below it. The only constants HeadcountDesk supplies are the published federal payroll tax rates and the overtime multiplier, each cited where it is used. The defaults are a worked example to replace with your own.

An onboarding employee checklist is the list of everything that has to exist before the person starts and in their first month, each item with an owner and a date: the contract, the tax and eligibility forms by their deadlines, the handbook acknowledgement, the accounts and the equipment, the introduction, the named contact, the check-ins and the probation date. The onboarding checklist on this site produces it for the role, with the hours of manager time it will take, free and without an account; HeadcountDesk Pro keeps it and chases what is open.

Before the start date

Offer and contract signed, W-4 and state forms, I-9 section one, handbook sent, accounts created, equipment ordered, first-week calendar written. Owners and dates on each.

Day one

I-9 section two within the deadline, the acknowledgement signed, the equipment recorded against the employee, the introduction, the named person, the first task.

The first month

Week-one and month-one check-ins with notes, the training items, the goals for the first review, the probation date confirmed. Pro reminds the manager.

The completed checklist as the record

Filed against the employee, it is the proof that onboarding was done, which matters on the day someone asks. From the vendors' own pricing pages: Homebase lists Essentials at $24 per location per month billed annually or $30 monthly, with a free Basic plan for one location of up to ten employees; BambooHR lists Core at $10 and Pro at $17 per employee per month; Deputy lists Core at $6.50 per user per month. HeadcountDesk Pro is $24 a month per location.
