Every figure on this page is computed from the inputs you enter, by the method stated below it. The only constants HeadcountDesk supplies are the published federal payroll tax rates and the overtime multiplier, each cited where it is used. The defaults are a worked example to replace with your own.
Onboarding cost is countable before it is felt: a working day of coordination across roughly thirty checklist items before role training starts, the manager's and the named person's hours through the first week, the equipment and the seat licenses, and the productivity ramp while the role is learned. The onboarding checklist on this site counts the items and prices the hours at your rates, free and without an account; HeadcountDesk Pro turns the coordination day into owned, reminded items for $24 a month per location.

The coordination day
Onboarding a salaried hire is roughly thirty checklist items and a working day of somebody's time before any role training starts. The checklist counts the items for the role and prices the hours, so the figure is yours rather than folklore.
The first-week hours
The manager's introductions and check-ins, the named person's interruptions, the training sessions. A written first-week plan is what keeps these to a week.
The hard costs
Equipment, licenses, the seat, recorded against the employee at issue, which is also the return list at leaving.
Why it is still cheap
Gallup puts the cost of replacing an employee at one-half to two times the employee's annual salary, and calls that a conservative estimate. Onboarding done properly is the retention lever that cost compares against, and the free turnover rate calculator on this site shows what a departure costs instead. From the vendors' own pricing pages: Homebase lists Essentials at $24 per location per month billed annually or $30 monthly, with a free Basic plan for one location of up to ten employees; BambooHR lists Core at $10 and Pro at $17 per employee per month; Deputy lists Core at $6.50 per user per month. HeadcountDesk Pro is $24 a month per location.
