A new hire email template is really two templates: the welcome email to the new hire, sent by the manager a week out with the logistics, what to bring, the person to ask and the handbook to acknowledge; and the introduction email to the team, sent on day one with the name, the role, the manager, the first work and one line the hire agreed to share. Both are checklist items with owners. The onboarding checklist on this site lists them, free and without an account; HeadcountDesk Pro sends them and records them.

The welcome email's four parts
Day-one logistics; what to bring for the I-9 and the forms; the one named person to ask anything; the handbook link with the acknowledgement to sign before arriving. From the manager's own address, in their own words.
The introduction email's four parts
Name and role; manager and team; the first project, so colleagues know what to bring them; one personal line, shared with permission. A few sentences, sent on day one.
What to leave out
The full policy list, the org chart lecture, the thirty-item task dump. The checklist carries the items; the emails carry the warmth and the four facts each.
Owned and recorded
Each email is a checklist line with an owner and a sent-date, because the skipped welcome email is the one nobody notices until the hire arrives at the wrong door. From the vendors' own pricing pages: Homebase lists Essentials at $24 per location per month billed annually or $30 monthly, with a free Basic plan for one location of up to ten employees; BambooHR lists Core at $10 and Pro at $17 per employee per month; Deputy lists Core at $6.50 per user per month. HeadcountDesk Pro is $24 a month per location.
