Every figure on this page is computed from the inputs you enter, by the method stated below it. The only constants HeadcountDesk supplies are the published federal payroll tax rates and the overtime multiplier, each cited where it is used. The defaults are a worked example to replace with your own.

HR apps for employees are compared on the same five things whatever the vendor: can the employee acknowledge the handbook, see their own file, submit a timesheet, request PTO against a balance and close their onboarding items from the phone, with the record of each landing on the employer's side. The onboarding checklist on this site scopes the tasks free; HeadcountDesk Pro is the app and the record, priced per location rather than per employee.

The comparison that matters

Five verbs: acknowledge, view, submit, request, close. Every app on the market does some; the question is whether the employee can do all five without asking anyone, and whether each lands as a record.

Per employee or per location

Most vendors price the employee app per employee, so every hire raises the bill. From the vendors' own pricing pages: Homebase lists Essentials at $24 per location per month billed annually or $30 monthly, with a free Basic plan for one location of up to ten employees; BambooHR lists Core at $10 and Pro at $17 per employee per month; Deputy lists Core at $6.50 per user per month. HeadcountDesk Pro is $24 a month per location.

The documents come first

The handbook, the contract, the checklist and the timesheet are what the app carries, and each is a free tool on this site with no account. Choose the app after the documents exist.

The reminders decide it

An app that tells the employee what is unsigned and tells the manager whose review is due is a system; one that waits to be opened is a folder. Pro chases.

HR apps for employees: common questions

Which HR app is best for a small business?

The one where the employee can do all five things from the phone and the employer sees the record, priced so a hire does not raise the bill. Pro is $24 a month per location.

Are there free HR apps for employees?

The documents are free tools on this site. Pro, the app with the record, is the paid part.

Do I need one under ten employees?

You need the five records at one employee. The app is one way to keep them; a manager's head is the other.

Will it do what you need for HR apps for employees?
