Every figure on this page is computed from the inputs you enter, by the method stated below it. The only constants HeadcountDesk supplies are the published federal payroll tax rates and the overtime multiplier, each cited where it is used. The defaults are a worked example to replace with your own.

An employee onboarding procedure is the list of what has to exist before the person starts and in their first month, in order, with a name against each item: the offer and the contract signed, the tax and eligibility forms completed by the deadlines, the handbook acknowledged, the equipment and the logins ready, the introduction to the team, a named person to ask, and the probation end date set. The onboarding checklist on this site produces the procedure for the hire, free and without an account; HeadcountDesk Pro keeps it against the employee and chases the open items.

Before day one

Contract signed, W-4 and state forms, I-9 section one, handbook sent for acknowledgement, equipment ordered, accounts created, the first week's calendar written. Each with an owner and a date; the free onboarding checklist on this site lists them for the role.

Day one

I-9 section two within the deadline, the acknowledgement signed, the equipment handed over and recorded, the introduction, the named person to ask, the first task. The checklist records each as done.

The first month

The check-ins at the end of week one and month one, the training items, the goals set for the review, the probation date confirmed. Pro reminds the manager of each.

The record

The completed checklist filed against the employee is the proof the procedure was followed, which matters on the day it is questioned. From the vendors' own pricing pages: Homebase lists Essentials at $24 per location per month billed annually or $30 monthly, with a free Basic plan for one location of up to ten employees; BambooHR lists Core at $10 and Pro at $17 per employee per month; Deputy lists Core at $6.50 per user per month. HeadcountDesk Pro is $24 a month per location.
