Every figure on this page is computed from the inputs you enter, by the method stated below it. The only constants HeadcountDesk supplies are the published federal payroll tax rates and the overtime multiplier, each cited where it is used. The defaults are a worked example to replace with your own.

An employee HR app for a small employer is judged on what the employee can do from their phone without asking anyone: read and sign the handbook, see their own file, submit a timesheet, request PTO and see the balance, and see the onboarding tasks still open. Everything else is the owner's side. The onboarding checklist on this site scopes the tasks for free; HeadcountDesk Pro is the app the employee opens, with the record on the employer's side.

What the employee does in it

Reads and acknowledges the handbook, sees their contract and letters, submits the timesheet, requests PTO against a visible balance, closes their onboarding items. If the app cannot do those five, it is a directory.

What the employer sees

Who has not signed, whose review is due, whose probation ends, what equipment is out. Reminders go to the person who has to act. Pro does that; the free tools on this site produce the documents.

The price shape

Per-employee pricing charges for every person who opens the app. From the vendors' own pricing pages: Homebase lists Essentials at $24 per location per month billed annually or $30 monthly, with a free Basic plan for one location of up to ten employees; BambooHR lists Core at $10 and Pro at $17 per employee per month; Deputy lists Core at $6.50 per user per month. HeadcountDesk Pro is $24 a month per location.

Start from the documents

The handbook, the contract, the onboarding checklist and the timesheet are free tools here with no account; Pro is where the employee signs them.
