Every figure on this page is computed from the inputs you enter, by the method stated below it. The only constants HeadcountDesk supplies are the published federal payroll tax rates and the overtime multiplier, each cited where it is used. The defaults are a worked example to replace with your own.
An employee directory template holds, per person, what colleagues are allowed to see: name, role, department, location, work phone and email, manager and start date. It does not hold pay, home address, personal phone or anything from the confidential file, and the mistake most directories make is being a copy of the HR spreadsheet with every column left in. The columns that belong
Name, role, department, location, manager, work phone, work email, start date. Enough to find the right person and know who they report to. The template on this site is that set.
The columns that do not
Pay, home address, personal phone, date of birth, emergency contact, anything medical. Those live in the confidential file with their own access. A directory exported from the payroll spreadsheet carries them by accident.
Kept current from the record
The directory goes stale the week a role changes unless it is generated from the employee record. Pro publishes it from the record, so a change form updates the directory.
Printable and searchable
A printed copy for the wall and a searchable one on the phone, both from the same record. From the vendors' own pricing pages: Homebase lists Essentials at $24 per location per month billed annually or $30 monthly, with a free Basic plan for one location of up to ten employees; BambooHR lists Core at $10 and Pro at $17 per employee per month; Deputy lists Core at $6.50 per user per month.
