Every figure on this page is computed from the inputs you enter, by the method stated below it. The only constants HeadcountDesk supplies are the published federal payroll tax rates and the overtime multiplier, each cited where it is used. The defaults are a worked example to replace with your own.

An employee checklist is the list per person of everything the employer has to have and do, from offer to leaving: the contract, the forms, the acknowledgement, the equipment, the introduction, the check-ins, the reviews, the changes, and at the end the return of equipment and the final pay. One list, the same for everyone, with an owner and a date on each item. The onboarding checklist on this site produces the joining half, free and without an account; HeadcountDesk Pro keeps the whole list against the employee.

Joining

Contract, tax and state forms, I-9 by its deadlines, handbook acknowledgement, accounts, equipment recorded, introduction, named contact, first-week plan. The free onboarding checklist on this site lists them with owners.

Through employment

Week-one and month-one check-ins, probation review, annual reviews with the goals set and scored, every change form for pay, role, address or bank, every letter issued. The free review template on this site scores the reviews.

Leaving

Notice recorded, equipment returned against the issue record, access revoked, final pay with the PTO payout the policy sets, the exit conversation noted, the file retained for its period.

One list, one file

All of it against the employee in one record with reminders to whoever has to act. From the vendors' own pricing pages: Homebase lists Essentials at $24 per location per month billed annually or $30 monthly, with a free Basic plan for one location of up to ten employees; BambooHR lists Core at $10 and Pro at $17 per employee per month; Deputy lists Core at $6.50 per user per month. HeadcountDesk Pro is $24 a month per location.
